Overview
QuietNotes is a private macOS note-taking app for professional coaches. The app helps a coach capture coaching sessions, create structured notes, maintain client context, and connect upcoming sessions from Google Calendar.
This policy explains what information QuietNotes collects, how it is used, and the choices you have. If you have questions, contact us at [email protected].
Information We Collect
- Account information: your name, email address, and profile information when you sign in with Google.
- Google Calendar information: calendar event details that you allow QuietNotes to access, such as event title, time, attendee email addresses, and meeting metadata.
- Coaching content: notes, transcripts, AI-generated summaries, client context, commitments, and coaching feedback created in the app.
- Audio and transcription data: audio may be streamed to transcription providers while you record, and the resulting transcript is used to generate notes and coaching reflections. QuietNotes does not store the raw audio recordings themselves on its servers after transcription.
- Technical information: basic logs needed to operate, secure, debug, and improve the service.
Google OAuth Scopes
QuietNotes requests Google access only to support sign-in and calendar sync:
openid,https://www.googleapis.com/auth/userinfo.email, andhttps://www.googleapis.com/auth/userinfo.profileare used to identify your account and show your basic profile information inside QuietNotes.https://www.googleapis.com/auth/calendar.readonlyis used to display upcoming calendar events, help you create session notes from calendar events, and help match client records by attendee email address.
QuietNotes does not use Google Calendar data for advertising, does not sell Google user data, and does not transfer Google user data except as needed to provide or improve user-facing QuietNotes features, comply with law, or protect the service.
QuietNotes' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
How We Use Information
- To authenticate you and keep your QuietNotes account private to you.
- To show upcoming Google Calendar events and create session notes connected to those events.
- To transcribe sessions, create structured notes, maintain client memory, and generate private coaching feedback.
- To provide support, troubleshoot issues, prevent abuse, and keep the service secure.
Sharing and Service Providers
QuietNotes uses service providers to run the product, including hosting, databases, transcription, and AI processing. These providers process data only to provide services to QuietNotes. We do not sell your personal information.
The macOS app can support local transcription modes where available, but the default product may use cloud transcription and AI providers to provide the service.
Retention and Deletion
QuietNotes keeps your account data, session notes, transcripts, client context, and calendar-derived session metadata while your account is active or as needed to provide the service. We do not retain raw session audio recordings as stored files; the transcript and generated notes are the durable session record. You can request deletion of your account or data by emailing [email protected].
If you disconnect Google Calendar, QuietNotes will stop syncing new calendar data. You can also revoke QuietNotes' Google access from your Google Account permissions page.
Security
We use reasonable technical and organizational safeguards to protect your information. No system is perfectly secure, but coaching data is treated as sensitive and access is limited to what is needed to operate the service.
Your Choices
- You can choose whether to connect Google Calendar.
- You can revoke Google OAuth access from your Google Account at any time.
- You can request deletion of your QuietNotes account and data.
Changes to This Policy
We may update this policy as QuietNotes evolves. If changes are material, we will update the date above and provide notice where appropriate.
